Pledges
A pledge is a promise made by the donor to donate in the future. A pledge can be made online through your DIY Donation Page or can be added internally by you. Pledges can be paid either by credit card or by check. If they are paid by credit card, you or the donor can specify a day of the month when they will run and eDenari will create a gift record for you automatically.
To understand how pledges work, start by setting up a pledge manually. The pledge belongs to the donor so you will find the pledge records by going to a donor's name record. Click the Donors tab at the top of the page then select a donor. Click the Edit button on the right to open that donor's record. Scroll down to the Pledges section.
Here you will find a list of existing pledges for this donor. Click the Edit button if you would like to edit one of those pledges. Click Add Pledge to create a new pledge record.
Pledge Description
Tells you what this pledge is about at a glance. When you see the pledge in the list of pledges it will help you identify each pledge.
The Appeal Code tells you which fund raising effort generated this pledge. It will allow you to evaluate your fund raising efforts. You will need to set up a fund code prior to creating the pledge.
The Fund Code tracks why the money is being raised. When the money from this pledge is received, what will it be used for? You will need to set up a fund code prior to creating the pledge.
The day the pledge will begin. It also serves as a type of 'anniversary' date for the pledge. For example, if you enter '5/15/2020' in this field, the pledge will start on that date and eDenari will expect that the payment amount is owed on that day. On 6/15/2020, eDenari will expect that a second payment is due. If the pledge is a $25 per month pledge, eDenari expects $50 on that date. On 7/15 it will expect $75, etc. eDenari uses those amounts to determine when the pledge is ahead or behind and you can use that calculation for management reports and donor statements.
This date is optional. For a credit card pledge, for example, you may not want to enter a date here. You will want the pledge to continue until the donor tells you to stop. However, you also may want the ability to ask for pledges for a specific time period and the stop date will prevent gifts from being applied to the pledge past that point.
If you choose Cash/Check eDenari will create the pledge record and you can apply the check through the Gift Record to the pledge. If you select Credit Card, eDenari will open a new set of fields.
Next Transaction Date is the actual date that the credit card will run. You have control over the transaction. As an example, a donor might contact you asking that you postpone the next transaction. You can change the date here to whatever date needed. You could also set all of your credit cards to run on the same day each month for consistency.
DOM (Day of Month) is the day that the transaction will take place. If the pledge is an annual pledge set to run in May of each each year, eDenari will run that transaction on the DOM in May. If it is a Quarterly pledge, it will run it on this day each quarter.
The Add Card button opens another set of fields that allow you to enter the credit card information.
The CC Status field lets you indicate the status of the card. You can set it to Live, Hold, Expired, Over the Limit, and Expired. Only a status of Live will allow the transactions to continue. The others assume there is a problem with the pledge. Once the problem has been resolved, remember to change the status to Live so that the transactions will resume.
This document has taken you through the process of setting up a pledge record manually. However, a donor can also create a pledge through your Donation Page. When they do that, this pledge record is created automatically for you.
